Delivering a major AI conference in Copenhagen in just six months

Challenges

Some international conferences are planned up to four years in advance. EurIPS 2025 in Bella Center, Copenhagen, was organised in just six months.

 

When CAP Partner first heard about the conference in the beginning of June 2025, the ambition was already extraordinary: to establish a new European conference running in parallel with NeurIPS, one of the world’s most prestigious artificial intelligence conferences, and to bring it to life before the end of the year.

 

EurIPS was designed as an experimental, community-driven initiative endorsed by the NeurIPS board.

Its goal was to make cutting-edge AI research accessible in Europe by allowing selected NeurIPS papers to be presented and discussed closer to the European research community.

 

The concept was ambitious — and the timeline even more so.

Registration only opened in early October 2025, leaving a very short window to build momentum, coordinate logistics, and prepare for an international audience. Yet by December, more than 2,000 participants had arrived in Copenhagen to take part in six days of scientific exchange, networking, and collaboration.

 

The conference itself consisted of multiple integrated events: the ELLIS UnConference, the main EurIPS conference with keynote lectures and paper presentations, and a large programme of community-organised workshops. In addition, the event included a substantial industry presence with innovative sponsors, exhibitors, and a dedicated startup environment.

Once CAP Partner was selected as Professional Conference Organiser (PCO), the task was to help transform a fast-moving idea from an innovative research community into a fully operational international event in record time.

Solution

As a Professional Conference Organiser (PCO), CAP Partner worked closely with the EurIPS organising committee, including Søren Hauberg, Aasa Feragen (DTU), Wouter Boomsma (KU), Jes Frellsen (DTU) og Dan Witzner Hansen ITU a, to translate the organisers’ vision into a structured and executable conference. The project was supported by  Copenhagen Convention Bureau, whose contribution helped enable the professional conference organisation of EurIPS in Copenhagen.

The defining challenge was speed.

With only a few months from first contact to conference opening, every phase of the project required rapid decision-making, clear coordination, and close collaboration between all partners.

 

CAP Partner supported the event through logistics planning, sponsorship coordination, exhibition management, and venue collaboration. In close partnership and collaboration with Bella Center Copenhagen and Copenhagen Convention Bureau , the team established the operational framework for the main conference and ensured that the event could adapt as participation numbers continued to grow.

 

As interest exceeded initialexpectations, the conference had to scale quickly. Additional workshop capacity was required, and some activities were moved from the IT University of Copenhagen to Bella Center to accommodate demand.

CAP Partner also supported the conference’s sponsorship chairs, who did an impressive job securing strong industry engagement. Working closely with the sponsorship chairs, CAP Partner coordinated the operational delivery of the exhibition and sponsor environment, including exhibitor communication, floor planning, signage, and printed materials.

The exhibition ultimately brought together more than 30 sponsors alongside 22 startup companies, creating a vibrant space where industry representatives could connect with the international AI research commpanies.  The scientific programme itself was
led by the EurIPS organising committee, while CAP Partner ensured that the operational framework allowed the programme to unfold smoothly on site.

 

Behind every scientific conference stands a large group of dedicated researchers who invest significant time and energy into building platforms for knowledge sharing. EurIPS was no exception.
The organisers, volunteers, and scientific committees worked under intense time pressure, driven by a shared ambition to create a new European meeting point for the global AI community. CAP Partner’s role was to support that commitment and make it possible in practice.

Highlights

ELLIS UnConference

The conference week began with the ELLIS UnConference, held on 2 December and co-located with EurIPS at Bella Center Copenhagen. The event served as the official kick-off for the week and helped bring together the European AI research community before the main conference programme began.

EurIPS Workshops

The workshop programme quickly became one of the most dynamic elements of the conference. Eighteen workshops were ultimately delivered across multiple venues, including the University of Copenhagen, the IT University of Copenhagen and Bella Center.

The workshops attracted exceptionally strong engagement and required rapid scaling to accommodate demand, demonstrating the enthusiasm of the research community and the importance of providing platforms for discussion and collaboration.

Start Up Village

EurIPS 2025 also created a platform for innovation through its Startup Village, designed to connect emerging AI companies with the international research community.

Designed as a meeting point between research and entrepreneurship, the initiative attracted strong interest from across the European AI ecosystem.

Around 80 startups applied and 22 companies were selected to participate. The Startup Village gave emerging AI companies the opportunity to connect directly with researchers, industry partners, and investors, creating a vibrant space for collaboration and new ideas within the conference.

Outcomes

EurIPS 2025 became a remarkable way for CAP Partner to conclude the conference year in Copenhagen.

From an initial conversation at the end of May to the opening day in December, the conference grew into a major international gathering for artificial intelligence research. In total, 2,198 participants from 56 countries attended the event.

Approximately 85% of participants took part in the workshops, underlining the strong engagement across the conference programme.

Alongside the academic programme, the event created an important meeting point between research and industry. The exhibition and innovation environment featured more than thirty sponsors and 22 startup companies, all eager to engage delegates in discussions about emerging AI technologies and applications.

Most importantly, EurIPS demonstrated what can be achieved when a highly motivated scientific community works together with experienced conference organisers and strong local partners. In just six months, a completely new European AI conference went from concept to reality.

For CAP Partner, it was both a demanding and inspiring project — and an honour to help bring world-class AI research to Copenhagen.
